Hodgkinsons Hotel is committed to protecting your privacy and ensuring that your personal information is handled in a safe and responsible way. This policy outlines how we aim to achieve this and includes details information we collect.

 

When do we collect information from you?

Information we collect about you when making a booking or staying with us

When you make a reservation we collect the names of all the guests who will be staying, the home address, email address and telephone number of the person making the booking. We may collect dietary or allergy requirements at the time of booking. We also collect a debit or credit card number to take the deposit and or to authorise the card for the reservation.

How we use the information

We use your home address as part of the card payment processing to validate the card.

We will use your email address to send you confirmation of the booking and an email with more details on how to find us and other information you may find useful for your stay.

After your stay you should receive an email from our booking system asking you about your stay. We may also send you an additional email checking everything was ok with your stay and offering you ways to stay in contact with us by social media or email if you choose to do so.

We will not use your telephone number to contact you unless it for an emergency and/or we have been unable to contact you by email.

How is your information stored?

All of the personal and debit/credit card data you supply us , as part of the booking process(direct, or via OTA’s Booking.com or Expedia), is stored securely on a third party system, Queensborough group/Qbook. Neither we nor Qbook will share your information with any other third party unless there is a legal reason for doing so. We will not sell, distribute, or lease your personal information to any other parties. Any personal information we request from you will be safeguarded under current legislation.

Guest Registration

We are required by law to collect the following information on all our guests. We do this by asking you to complete a registration form on arrival.

For commonwealth guests;

Name and nationality

 For non commonwealth guests;

Name, nationality, passport number, address of next destination

 We will keep these forms safely. We are required to keep these registration forms for a year and show them to a police officer if they request to see them. We will destroy these forms 12 months after your stay.

 

 

Information we collect when you make an enquiry

When we receive an enquiry we collect email or mailing address in order that we can process your enquiry and send you the correct information. We do not hold this information if there is no further action taken on the initial enquiry.   

 

Information we collect when you dine with us

We collect your name and telephone number and any dietary requirements when making a booking for the restaurant. We do hold information on guests and customers who may eat regularly for legitimate reasons as often we have repeat customers and it helps us to remember any special requirements you have. When leaving you may also be asked if you wish to join our mailing list for future information on new menus and special events happening at Hodgkinsons Hotel & Restaurant.  

 

Marketing

We do not send out many emails but we would like to stay in touch with you to send information about Hodgkinsons Hotel & Restaurant, any special offers we may have or local events. We may send occasional emails to people on our distribution list. The distribution list is managed by a secure third party, Mailchimp. If you would like to receive these newsletters please click here . If you are on our list already you may change your preferences or unsubscribe via Mailchimp at any time. Neither we nor Mailchimp will pass your details onto any third party. Your information we use for marketing purposes will be kept with us until you notify us that you no longer wish to receive this information. Information we collect when you apply for work

You may submit your CV if you’re interested in working for us. This information may include:

personal details, employment details, education, salary history, other relevant details.

Employee information and payroll data is stored securely in our cloud based software (Xero). All information regarding previous employee information will be removed from our records after legal requirements for data storage are met.

 

Information from suppliers

We keep suppliers information in our cloud software. Information on suppliers will be kept whilst we are working with the supplier. All information regarding previous suppliers will be removed from our records once any legal requirements for data storage are met.    

 

Tracking information and analytics

Hodgkinsons Hotel website uses tracking information and analytical software to review performance and assist in improving the website and marketing activity like many other websites. Cookies only collect data about browsing actions and patterns, and do not identify you as an individual.
